This Privacy Policy explains how [LEGAL BUSINESS NAME], doing business as TheScaleFlow ("TheScaleFlow," "we," "us," or "our"), collects, uses, shares, and protects personal information. We are based in Calgary, Alberta, Canada, and we work with contractors and home-service businesses in Canada and the United States.

We follow Alberta's Personal Information Protection Act (PIPA) and, where it applies, Canada'sPersonal Information Protection and Electronic Documents Act (PIPEDA). We also follow the privacy and messaging laws that apply to our customers in the United States.

1. What this policy covers

• Our demo booking calendar, contact forms, and website chat.
• Calls, text messages, and emails between you and us.
• The services we provide to our clients.

When we provide services to a client, we may handle information about that client's own customers. For example, a customer's name and phone number may be entered so a review request can be sent. We handle that information on our client's behalf and only to provide the service. Our clients are responsible for having the right to share it with us and for getting any consent the law requires to contact their customers.

2. Information we collect

Information you give us

• Your name, business name, phone number, and email address.
• Your trade, the areas you serve, and anything you write in a form or chat.
• Details of your demo booking.
• Whether you agreed to receive text messages from us, and when.
• If you become a client: billing details, photos and content for your website, and customer information you enter into our tools. [Add your payment processor, for example "Payments are processed by ___; we do not store full card numbers."]

Information collected automatically

When you visit our website, our hosting provider and the tools built into our site (such as the booking calendar and chat widget) may collect technical information. This can include your IP address, browser and device type, the pages you visit, and the date and time of your visit. Some of these tools use cookies or similar technologies to work properly. We do not currently use advertising cookies on this website.

3. How we use your information

• To answer your questions and requests.
• To schedule and hold your demo call.
• To send you text messages, if you agreed to receive them (see section 4).
• To provide our services to clients, including building websites and running texting, review, and follow-up tools.
• To bill clients and manage accounts.
• To keep our website and services secure and working properly.
• To meet our legal obligations.

We use personal information only for the reasons we collected it, or for reasons you would reasonably expect, unless you agree otherwise or the law allows or requires it.

4. Text messages (SMS)

If you check the SMS consent box on one of our forms or our booking calendar, you agree to receive text messages from TheScaleFlow about your inquiry. These can include replies to your questions, demo confirmations and reminders, and follow-up about the services you asked about.

• Agreeing to texts is optional. It is not a condition of booking a demo or buying anything from us.
• Message frequency varies. Message and data rates may apply.
• Reply STOP to any message to opt out. Reply HELP for help, or contact us at myv@thescaleflow.com or (587) 966-0193.

We never share or sell your mobile phone number or your SMS consent to third parties or affiliates for marketing or promotional purposes. Text messaging opt-in data and consent are not shared with any third party, except the service providers that help us deliver our own messages to you, such as our messaging platform and phone carriers.

5. How we share information

We do not sell your personal information. We share it only in these cases:

• Service providers. Companies that help us run our business, such as our customer management and messaging platform (GoHighLevel / LeadConnector), which runs our booking calendar, forms, chat, and texting tools; our website hosting provider [Vercel or Netlify]; and our email and payment providers. They may use your information only to provide services to us.
• Legal reasons. When the law requires it, or to protect the rights, property, or safety of you, us, or others.
• Business transfers. If our business is sold or merged, information may be transferred to the new owner under this policy.
• With your consent. For any other reason you agree to.

6. Where your information is stored

Our service providers may store and process information outside Canada, including in the United States. While it is outside Canada, it is subject to the laws of that country, and courts or authorities there may be able to access it.

7. How long we keep it

We keep personal information only as long as we need it for the reasons in this policy, or as long as the law requires. When we no longer need it, we delete it or make it anonymous.

8. How we protect it

We use reasonable administrative, technical, and physical safeguards to protect personal information. No method of sending or storing information is completely secure, so we can't guarantee absolute security.

9. Your choices and rights

• Access and correction. You can ask to see the personal information we hold about you and ask us to correct it.
• Withdrawing consent. You can withdraw your consent at any time, subject to legal or contract limits. For texts, reply STOP. For emails, use the unsubscribe link or contact us.
• If you live in the United States. Depending on your state, you may have more rights, such as the right to know, delete, or correct your personal information, and to opt out of its sale or use for targeted advertising. We do not sell personal information or use it for targeted advertising.

10. Children

Our website and services are for businesses and are not meant for children. We do not knowingly collect personal information from anyone under 18.

11. Other companies' tools and links

Our website includes tools and links from other companies, such as our booking calendar and chat widget. Their own privacy policies apply to the information they collect.

12. Changes to this policy

We may update this policy from time to time. The date at the top of this page shows when it last changed.
